The LOA Leave of Absence pay code tracks FMLA hours. This pay code should never be removed from the timesheet by supervisors or auditors.
All FMLA cases have a case number assigned to them, and this will appear on the timesheet.
Once eSTAR determines the employee is eligible for FMLA, the LOA pay code will write to the timesheet and available leave will decrement from the employee's leave bank. Available leave is decremented in the following order: Sick Leave, Annual Leave, Floating Holiday, Compensatory Time.
Click on ACT Balances.
The Usage By Leave Type table shows the past, current, and future use of FMLA. Hover your mouse on the blue and purple line. Your employee's FMLA case number(s) with actual and projected FMLA usage dates will appear.
The FMLA Allowance graph displays both actual and projected FMLA usage.
Click on Results Tab.
The results tab displays the LOA code and available paid leave and applicable holiday(s) used each day.
Click on the far right arrow.
Uncheck the Work Date box.
Unchecking this box will display the total amount of leave paid for each pay cycle.
Leave requests from your employees will be sent to you electronically. Confirm that the request is a FMLA request and not a sick leave request before approving. If the employee has multiple FMLA intermittent leave cases they must select the appropriate case number associated with the reason for the FMLA request.
Please be mindful of the leave request as it pertains to the Case Identification number and the Designation Notice. You may need to review the FMLA designation notice for each FMLA intermittent leave case to ensure the leave requested matches the approved FMLA leave parameters noted on the FMLA designation notice.
The ACT Case Manager will remove the LOA pay code. Available leave written to the timesheet will remain on the timesheet unless the ACT Case Manager is otherwise notified by the supervisor.
